Privacy Policy
TaxPilot (“we”, “us”, “our”) is published by Global Tax Consulting Ltd, a company registered in England and Wales (company number 15301200), registered office Hartlepool Enterprise Centre, Brougham Terrace, Hartlepool TS24 8EY, United Kingdom. This policy explains what the TaxPilot iPhone app and the taxpilotapp.com website (together, the “Services”) collect, why, who else sees it, how long it is kept and how you can change your mind. We follow the UK General Data Protection Regulation (UK GDPR) and, for people in the EU, the EU GDPR.
The short version: most of TaxPilot works on your iPhone and stays there. Nothing leaves your phone unless you use a feature that needs it, and every one of those features asks you first.

Data we collect
Kept only on your iPhone. Your day log (which country you were in on which day), your plans, work days, ties, reminders, your first name and the countries you add are stored on your iPhone. We cannot see them. They are part of your device backup if you use one, and they are deleted when you delete the app.
Location. If you turn on automatic tracking, TaxPilot asks iOS for your approximate location and uses it on your iPhone to work out which country you are in. Your location is never uploaded to us or anyone else. You can turn it off in the app or in iOS Settings at any time and keep counting days by hand.
Sent only when you use a feature.
When you add your email in Settings > Your profile: first name, email address, home country, current country, and whether you want email updates. To send you occasional tax news from Global Tax Consulting if you said yes.
When you ask Ask TaxPilot a question: your question, the conversation so far and your earlier questions in Ask; your first name; and what you told TaxPilot about your tax year: where you call home and live, the countries you track and your plans for them, your stays and their dates (countries only), your day and work-day counts, and your ties (such as citizenship, home, family, job, visa, assets, business). Also the Global Tax Index rows and partner firms the question needs. Never your email address or documents. To write the answer.
When you type your trips in your own words: the words you typed and the date range they cover. To turn them into dated trips for you to confirm.
When you use Ask TaxPilot or typing: a random ID made by the app on your phone, and how many questions it has used this month. To apply the free monthly allowance.
When you turn on usage analytics: which screens and features are used, a random app ID, device model, iOS version and app version, never your name, email, questions or day counts. To see what to improve.
We do not collect
Government ID numbers
Financial account or payment details
Your precise location
TaxPilot has no ads, does not track you across other companies’ apps or websites, and does not sell your data.

How we use your data
To count your days and show your plans (on your iPhone).
To answer your questions and read the trips you type.
To send email updates, only if you asked for them.
To improve the app, only if you turned on usage analytics.
To answer support requests and keep the Services secure.

Legal basis
Consent: email updates, usage analytics, Ask TaxPilot and typed trips. Each one asks before anything is sent, and you can withdraw consent at any time.
Contract: to provide a feature you chose to use.
Legal obligation: where the law requires it.

Where data is processed
Supabase runs our server and stores email-update sign-ups and the monthly question counts, on servers in Frankfurt, Germany (EU).
Anthropic, the AI company behind Claude, writes the answers to Ask TaxPilot and reads typed trips. Our server passes your request to Anthropic and keeps none of the content. Anthropic processes it under its commercial terms, which do not allow it to train its models on this data. Anthropic deletes it within 30 days, unless its automated safety systems flag a request, in which case it may keep it for up to 2 years.
Google Analytics for Firebase receives usage analytics, only if you turned them on. Advertising features are switched off.
International transfers
Some of these providers process data outside the UK and EU, for example in the United States. Where that happens we rely on the UK International Data Transfer Agreement or the EU Standard Contractual Clauses.

Sharing
We share data only with the providers above, who act on our instructions, and where the law requires it. Each provider is bound by a contract to protect your data at least as well as this policy does.
Partner tax advisors listed in the app receive nothing from us: if you contact one, you do so directly by email or on their website, and their own privacy policy applies.

Security
Data is encrypted in transit and at rest, access is restricted to the people who need it, and the app sends only what each feature needs.

Retention
On-device data: until you delete it or the app.
Email-update sign-ups: until you turn email updates off or ask us to delete them.
Question counts and the random app ID: 13 months.
Ask TaxPilot and typed trips: not stored on our server.
Usage analytics: up to 14 months (individual events 2 months).

Your rights and choices
You can access, correct or delete your data, object to or restrict processing, and withdraw consent at any time:
Email updates: turn them off in Settings, or use the link in any email.
Usage analytics: turn them off in Settings.
Location: turn automatic tracking off in the app or in iOS Settings.
Everything on your iPhone: delete the app.
Anything else, or a copy of your data: email hello@taxpilotapp.com. We reply within one month.
You can also complain to the UK Information Commissioner’s Office (ico.org.uk) or your local data protection authority.
TaxPilot is not meant for children under 16.
